This Privacy Policy explains how Senex Intelligence Ltd (Senex, we, us, or our) collects and uses personal data about visitors to senex.ch and people who submit a demo or contact enquiry through the website.
This Privacy Policy covers the public website only. It does not govern personal data contained in customer documents uploaded to Mosaic Theory AI. Product-customer personal data is governed by Senex's Data Processing Agreement and the applicable customer agreement.

2. Personal data we collect
2.1 Demo and contact enquiries
When you submit the website's demo or contact form, we collect:
- your work email address, which is required;
- your firm name or firm description, if you choose to provide it;
- the date and time of submission; and
- a short internal label identifying which website form was used.
The work email is stored in normalised lower-case form. Submitting the same email address more than once should not create duplicate records. The firm-name field is optional and may include any information you choose to type into it.
The form does not request a phone number, personal address, payment details, or separate name field.
2.2 Technical website data
When you visit the website, our hosting, security, and infrastructure providers may process technical data needed to deliver and secure the website. This may include IP address, browser type, device information, requested pages, timestamps, and similar server or security log data.
3. How we use personal data
We use website personal data to:
- respond to demo requests and contact enquiries;
- contact you about Senex and Mosaic Theory AI where this is relevant to your enquiry or business role;
- manage B2B sales follow-up;
- maintain, secure, debug, and improve the website;
- prevent abuse, spam, fraud, and security incidents;
- keep basic business records; and
- comply with legal obligations and enforce our rights.
We do not sell website enquiry data. We do not use website enquiry data to train AI models. We do not use website enquiry data for unrelated consumer marketing.
4. Lawful basis
For B2B demo requests and sales follow-up, we rely on our legitimate interests in responding to enquiries, developing business relationships with investment firms and other prospective customers, and explaining our product to people who have contacted us or whose role is relevant to our service.
For website security and technical operation, we rely on our legitimate interests in operating a secure, reliable website and protecting our systems.
Where we are legally required to process or retain data, we rely on compliance with a legal obligation. Where we ask for consent for a future activity, such as optional marketing that legally requires consent, we will rely on that consent and you may withdraw it at any time.

5. Who we share personal data with
We share website personal data only where needed for the purposes described in this Privacy Policy. Recipients may include:
- hosting, security, and infrastructure providers, including Cloudflare, used to host and protect the website and enquiry database;
- business email and office-system providers used to receive, route, and respond to enquiries;
- professional advisers, such as lawyers, accountants, auditors, and insurers;
- service providers supporting website maintenance, security, or business operations; and
- regulators, public authorities, courts, or counterparties where required by law or necessary to protect legal rights.
We do not permit service providers to use website personal data for their own marketing.
6. International transfers
Website enquiry data is intended to be stored in EU infrastructure. Senex personnel and service providers may access or process it from the United Kingdom, Switzerland, the European Economic Area, or other locations where our providers operate.
Where personal data is transferred internationally, we use appropriate safeguards where required, such as adequacy regulations or decisions, standard contractual clauses, the UK international data transfer addendum, or equivalent contractual and organisational safeguards.
7. Retention
We keep website enquiry records for as long as reasonably needed to respond to the enquiry and manage B2B follow-up.
If an enquiry does not become a customer relationship, we will normally delete or anonymise the enquiry record within 24 months after the last meaningful interaction, unless we need to keep it longer for legal, security, dispute, accounting, or compliance reasons.
If the enquiry becomes a customer relationship, relevant contact and business records may be retained for the duration of the customer relationship and for an appropriate period afterwards under our customer, accounting, legal, and compliance-retention rules.
Technical logs are retained for a limited operational and security period unless needed for investigation, legal, or security purposes.

8. Your rights
Depending on where you are located and which data-protection law applies, you may have rights to:
- be informed about how we use your personal data;
- access a copy of your personal data;
- correct inaccurate or incomplete personal data;
- ask us to delete personal data;
- restrict how we process personal data;
- object to processing based on legitimate interests, including B2B sales follow-up;
- receive certain personal data in a portable format; and
- complain to a data-protection regulator.
To exercise rights, contact hello@senex.ch. We may need to verify your identity before responding. Some rights are subject to limits and exemptions, for example where we must keep information for legal, security, or dispute reasons.
If you are in the United Kingdom, you may contact or complain to the UK Information Commissioner's Office. If you are in the EEA or Switzerland, you may have the right to contact your local data-protection authority.
9. Opting out of follow-up
There is currently no self-service portal for deleting website enquiry data. Removal is handled manually on request.
If you do not want further B2B follow-up from us, email hello@senex.ch and ask to be removed. We will stop non-essential follow-up and, where appropriate, delete or suppress your enquiry details so we can respect your request.
10. Cookies and similar technologies
At the time this policy is published, the website does not set tracking cookies, analytics cookies, advertising cookies, or similar non-essential storage technologies.
The website is intended to use self-hosted fonts and not to load display fonts from third-party font services. If we later add analytics, advertising, embedded third-party content, or non-essential cookies, we will update this Privacy Policy and, where required, provide a cookie notice or consent mechanism.
11. Product customer data and DPA
This Privacy Policy is about the public website. If you are a prospective or actual Mosaic Theory AI customer, the processing of personal data in uploaded documents, prompts, answers, audit records, and related product data is governed by the applicable customer agreement and Senex Data Processing Agreement.

12. Changes to this Privacy Policy
We may update this Privacy Policy from time to time. The updated version will be posted on the website with a new effective date. Material changes will be highlighted where reasonably practicable.
